The New MadComps….

Most Mad volunteers were happy with the old system of MadComps we had… But, considering the fact that most Mad volunteers are teachers at the Palluruthy Snehabhavan Orphanage, this is hardly a surprise… :)

Anyhow, jokes aside, six months into this years comps, realisation dawned.. The brute strength of Pallu made it practically invincible… The odds were heavily stacked against the other orphanages, particularly those like Holy Ghost were class used to happen only once a week…

And, so began the saga of the re-evaluation and re-discussion and revamp of the MadComps….

But before I get into it proper, I’d like to remind all volunteers of a very important feature of the MadComps…

Yes, it is fun to be at war…. Yes, competition is good.. But, only…. ONLY as long as the competition is beneficial to the community.. So when you’re taking part, try and not be partial to your orphanage’s entries… Try and think of the common good… May the best man/woman/child/engineering student win…. :)

From now on, MadComps will be dynamic.. There will be the fixed elements of course… But, there will also be certain events that maybe added as per the community requirements… Anyhow, here are the new rules.. Feel free to approve… If you really really really want to disapprove, feel free to hit me with your master plans to make it better… Here goes….

1. Most of us have heard talk about the online attendance management system. Well, we’ll get to see it now too.. Yes, it is ready… And, it’s going to be part of the Madcomps big time too… After each class, the batch head has to come online and register the attendance for that class…

Attendance Registeration within 24 hours —-> 10 points

2. Orkut Feedbacks… Our repository of classroom knowledge… In the old MadComps, each volunteer was awarded points for putting in a feedback…. From now on, the focus won’t be on each volunteer doing it… It is only essential that every class be documented..

To demonstrate, suppose me, Arjun and Sibi teach a combined class on Wednesday.. All three of us needn’t come online and repeat the same feedbacks… The class needs to be documented.. Hence, only one of us need to post.. Suppose, if the three of us had taken three different classes, then we’d have had to put in three feedbacks… Savvy? And points won’t be awarded to volunteers, but it will be awarded to orphanages that put in feedbacks for every class taken…

Feedback for every class within 48 hours —-> 20 points

3. The biggest event!! The Feedback Quality and the activities encompassed will be evaluated by esteemed member of the Advisory Committee, Mr. Noorul Hijaz Tharola, and of the entries, he’ll pick the best five and put it up for poll every two weeks… The community will vote and the winner will be decided hence…

Feedback with the most votes —-> 50 points

4. Ok, and here comes the interesting part…. The dynamic aspect that I was talking about… The blog... Yes, this blog, will also feature in the MadComps temporarily… To demonstrate how this will work, let me provide you with an example… I’m a volunteer at YMCA, and Rose is a volunteer at St. Teresa’s…. Suppose one day, I put up a post in the blog… The President and Hijaz go through it and decide whether it stays or not depending on the quality… Suppose it does…. And nobody posts anything in the blog for the next three days… If that happens, then YMCA will get points… All Rose has to do to prevent YMCA from scoring? Post something in the blog before the three day timeline is up….

Post on top for three days —-> 50 points

Anyhow, that’s it for now people.. Please note that this system won’t come into effect for another week.. So if you have any problems with it, get your say in before that, or forever remain silent… Peace… :)

THE MAD RULE BOOK

GROUND RULES

 

  1. A class is never missed in MAD

  2. There will be 56 English classes in MAD every year

  3. Volunteers must acknowledge and respond to all communications within 24 hours.

  4. No one takes leave without substitution. Interns and volunteers must find their own substitutes if they miss a class. A volunteer must arrange another volunteer as substitute.

  5. Each volunteer has 3 credits at the beginning of the year. A credit is reduced for each day of class missed. CLASS CAN ONLY BE MISSED WITH SUBSTITUTION!! Credit workings:

    1.  
      1. 3 credits: Great!

      2. 2 credits: Substitute whenever possible and make up.

      3. 1 credit: Emergency! Substitute whenever and wherever asked!!

      4. 0 credits: The volunteer will be asked to leave.

  6. Interns must attend 4 consecutive classes before they can become a volunteer. They will be eligible for the MAD certificate one year after becoming a volunteer.

  7. The batch head must be informed of attendance or substitution at least 2 days in advance

  8. All volunteers must attend the TTF training or the refresher course when scheduled.

  9. All volunteers must attend the compulsory second Saturday training sessions

  10. A volunteer must stop taking class if he / she has missed more than two consecutive training sessions

  11. All volunteers join as interns and will become members on completion of the orientation process (given in detail below). Members will be given a membership card and will be eligible for the MAD experience certificate.

  12. A volunteer can additionally choose to be member of a bunch. If he / she do, active contribution will be expected.

Roles & Responsibilities:

VOLUNTEER:

  1. Be regular and committed.

  2. Inform batch head about your class status 48 hours before the class.

  3. Prepare for class at least two days in advance and bring log sheet to class.

  4. Reach the orphanage at least 10 minutes before scheduled time

  5. Maintain student’s attendance and inform batch head if any child is repeatedly absent.

  6. Attend all compulsory training meetings.

  7. If a bunch member, attend all compulsory bunch meetings.

  8. Confirm attendance to batch head for monthly training meetings and other meetings

  9. When unable to attend class, arrange for substitute and inform batch head in advance. Provide substitute with log sheet to take class.

  10. File Log sheet in the orphanage LOG Sheet file after every class.

  11. Put your Orkut feedbacks within 48 hours of the class.

BATCH HEAD:

  1. Ensure attendance of children during your batch.

  2. Ensure volunteer regularity. Should have confirmed attendance / substitution at least two days before class. If not informed in advance, or after confirmation volunteers are not present, warn the volunteer. If problem recurs, inform orphanage head to take action.

  3. Update batch attendance within 24 hrs

  4. Ensure Orkut feedback within 42 hrs

  5. Ensure log sheets are maintained at the orphanage.

  6. Assist HR & Invigilating bunch for promoting Interns to Volunteers.

  7. Confirm meeting attendance of volunteers to orphanage head 3 days before compulsory monthly training meetings.

  8. Reschedule classes when they cannot be held on a particular day.

  9. Ensure the minimum 56 classes are conducted in your orphanage

  10. When the batch head is absent, substitute will be acting Batch head.

 

 

ORPHANAGE HEAD:

  1. Be the contact point for that orphanage

  2. Ensure maintenance of orphanage resources including computers, library, notebooks etc. Must periodically check computers and inform any issues immediately to VP Computers for action.

  3. Ensure maintenance of log sheets, attendance, feedback

  4. Ensure that the children are attending classes regularly

  5. Handle issues relating to the orphanages – volunteer issues, volunteer irregularities, new volunteer requirements–immediately report to HR.

  6. If any classes are missed, ensure the batch heads reschedule them.

  7. Confirm meeting attendance of volunteers to HR two days before scheduled meeting.

  8. During long holidays and exams for students, discuss with orphanage authorities and decide on the start and stop days of the classes and let the volunteers know.

 

ESCALATION PROCEDURE:

BATCH HEAD → ORPHANAGE HEAD → CONCERNED VP → PRESIDENT

 

INVIGILATION BUNCH: CHECKLIST

 

  1. Volunteer attendance, substitution

  2. Children: attendance

  3. Log sheets: check with prescribed syllabus

  4. Validate interns before they become volunteers (for internal purpose only)

 

INTERN ORIENTATION PROCESS (Must be completed to become a member)

 

  1. Each new Intern will be provided with a welcome kit consisting of the following:

    1. Rule Book

    2. Syllabus manual

    3. Welcome to MAD Manual

    4. TTF training programme CD

  2. Every intern must go through the one day training session: process (syllabus ) , basic rules and orientation.

  3. Every intern must submit a filled bio data and two passport size photos: for membership card and records.

  4. The intern must complete four consecutive teaching classes
